Client Responsibilities
To ensure a seamless and exceptional event experience, clients agree to the following:
Final Guest Count
A final guaranteed guest count must be submitted by the deadline stated in your agreement. This number cannot be reduced after submission and will be used for staffing, catering preparation, rentals, and billing purposes.
Increases in guest count after the deadline are subject to availability and additional charges.
Venue Requirements
The client is responsible for ensuring the venue provides:
- Adequate access for load-in and breakdown
- Sufficient preparation space for catering
- Proper electrical access if required
- Necessary permits and approvals
Sorelle Reale is not liable for delays, limitations, or service restrictions caused by venue policies or inadequate facilities.
Outside Vendors
If the client hires vendors not contracted through Sorelle Reale, we are not responsible for their performance, timing, or quality of service. Coordination outside of agreed services may incur additional fees.
Catering Liability & Food Safety
Sorelle Reale maintains proper food handling standards in accordance with local regulations.
However:
- We are not responsible for food quality once service has concluded.
- We are not liable for items removed from the event site or improperly stored after service.
- The client assumes responsibility for notifying us in advance of any severe food allergies.
While we make reasonable efforts to accommodate dietary restrictions, we cannot guarantee an allergen-free environment.
Damage & Rental Responsibility
The client assumes full responsibility for:
- Damage to décor, rental items, florals, linens, tableware, or equipment caused by guests, venue staff, or third parties.
- Theft, loss, or destruction of rented or provided items during the event timeframe.
Repair or replacement costs will be billed to the client and must be paid within the timeframe outlined in the agreement.
Indemnification
The client agrees to indemnify and hold harmless Sorelle Reale, its owners, staff, and contractors from claims, damages, liabilities, or expenses arising from:
- Guest conduct
- Venue conditions
- Alcohol-related incidents
- Third-party vendor actions
Cancellation & Rescheduling Policy
Cancellation Policy
At Sorelle Reale, each event requires extensive preparation, vendor coordination, staffing reservations, and curated design sourcing well in advance of your event date.
For this reason:
- All retainers are non-refundable and non-transferable.
- If a client cancels their event for any reason, all payments made up to the cancellation date are forfeited.
- Cancellation must be submitted in writing.
- Any outstanding balances owed for services or secured rentals at the time of cancellation remain due as outlined in your signed agreement.
Once your date is reserved, we decline other inquiries and allocate resources specifically to your event. Cancellation impacts multiple vendors and scheduling commitments.
Rescheduling Policy
We understand that unforeseen circumstances may arise.
One (1) reschedule request may be considered under the following conditions:
- The request is submitted in writing at least 30 days prior to the original event date.
- The new requested date is within 6 months of the original event date.
- Sorelle Reale and all secured vendors are available on the new date.
Approval of a rescheduled date is not guaranteed and is subject to availability.
If approved:
- The original retainer will transfer to the new date.
- Additional fees may apply due to pricing adjustments, vendor changes, seasonal rate differences, or increased costs.
If rescheduling is not possible due to availability or vendor limitations, the event will be treated as a cancellation.
Force Majeure
Sorelle Reale shall not be held liable for failure to perform services due to circumstances beyond reasonable control, including but not limited to natural disasters, government restrictions, venue closures, acts of God, labor disputes, or other unforeseeable events.
In such cases, reasonable efforts will be made to reschedule services, but refunds are not guaranteed.
Sales Tax, Service Charges & Gratuity Policy
1. Sales Tax Compliance
In accordance with regulations set forth by the New York State Department of Taxation and Finance, Sorelle Reale LLC collects and remits all applicable New York State and local sales taxes.
Sales tax is calculated based on:
- Event location
- Type of services rendered
- Catering, rentals, floral materials, and tangible décor provided
- Current state and local tax rates
All applicable taxes will be itemized on your proposal and final invoice.
2. Service Charge & Administrative Fee
A service charge may be applied to events requiring staffing, catering execution, rentals, installation, breakdown, or full production management.
This service charge:
- Covers operational, coordination, production, and staffing expenses
- Is mandatory for applicable events
- Is not discretionary
The exact percentage will be disclosed in your custom proposal.
3. Gratuity Policy (Included in Final Pricing)
For events that include staffed services (servers, bartenders, chefs, attendants, or service personnel), gratuity is included in the final quoted price unless otherwise stated in writing.
Gratuity:
- Is calculated as part of your total investment
- Is distributed to service staff accordingly
- Eliminates the need for on-site tipping
Clients are not obligated to provide additional gratuity unless they choose to do so at their discretion.
If gratuity is separately itemized, it will be clearly labeled on the invoice.
4. Out-of-State Events
For events occurring outside New York State, applicable taxes and gratuity requirements will be assessed in accordance with the jurisdiction of the event location. Adjustments may be made to ensure compliance with multi-state regulations.
